Responsibilities for Administration and Secretarial Services:

  • Provide administrative and operational support for Manager;
  • Provide support in communication and portfolio management (incl. preparation and follow-up of files, invoicing, communication, and presentations);
  • In charge of office planner (incl. organizing structural and impromptu meetings at Belgian and international locations, sending invitations, booking venue reservations, greeting and referring visitors, writing reports);
  • Initiate and follow-up of travel arrangements (incl. communication with travel agencies, visa applications, generating expense reports);
  • Accurate and detailed monitoring/processing of contact database information;
  • Filing;
  • A customer-friendly, assertive, to-the-point, tactful and discreet approach is required in interactions with various stakeholders (such as government, members of the board, diplomats, etc.) relating to scheduling, imparting information, and contact management. This applies to written, telephone and in-person interactions.

Management Assistant Competencies for the Diamond Industry

  • Fluent in three languages (Dutch, French, English), both in verbal and written expression;
  • An inherent talent for organizing with a meticulous, efficient and structured approach;
  • An accommodating attitude when facing deadlines;
  • Independent thinker, solution-focused, with a proactive approach to achieving desired results;
  • Excellent knowledge of MS Office.
