Are you starting a new diamond business in Antwerp and planning to use the services of the Diamond Office? Then your first step is to register your company with us.

To complete your registration, you need to submit a set of documents to the Diamond Office. This registration package includes:

• A questionnaire with general company information (Available in English, Dutch, and French)
   
• A checklist of documents that must be completed:
   
  • Registration via the Enterprise Counter (KBO):
    • Registration with the Crossroads Bank for Enterprises (KBO)
    • Deed of Incorporation or publication in the Belgian Official Gazette
    • Confirmation of your Company Number (issued by the Commercial Court)
    • Proof of registration in the Crossroads Bank
       
  • Federal Public Service Finance – VAT Control:
    • Certificate confirming the VAT number, or
    • Confirmation of VAT number application (21% VAT)
       
  • Federal Public Service Economy – Diamond Licensing:
    • Proof of registration with the Licensing Service
    • EP Number (also referred to as BEB Number)
       
  • Trader in Diamonds, Gemstones, and/or Pearls:
    • AWDC VAT Exemption Document: “Declaration Article 42 §4”
       
• The following list of forms documents that must be completed:
   
  • VAT Exemption Form – applicable only to traders in diamonds, gemstones, or pearls (not to jewellers)
  • National Bank of Belgium (NBB) Form – required if you would like the Diamond Office to submit your Intrastat declaration (recommended, as self-submission may lead to additional inspections by the NBB). This is a standard NBB form, available only in Dutch.
  • EORI Application Form – This is a unique customs registration number that is required for all import and export activities. The form is issued by the Federal Public Service Finance and is available in Dutch and French.

  • General Terms and Conditions – must be signed upon receipt, as it outlines important responsibilities. This document is only available in Dutch.

Once completed and signed, you have to send these documents to AWDC-DO-klantendienst@awdc.be, in order to complete the registration of your company with Diamond Office.
